A client's quote is entered on the itinerary itself, in the Price quote card of the Advisor Portal. Once you choose to show it, the client sees it as the Investment section of their itinerary and in the itinerary email.
Where to find it
- In the sidebar, open Trips and choose Itineraries. You can also press Ctrl K and type “itineraries”.
- Click the itinerary’s title to open it.
- Scroll down to the Price quote card. It sits below Presentation details and above the day-by-day list.
A quote belongs to one itinerary. If a client has two versions of a trip, each itinerary carries its own quote.
Add a quote
- Click + Add price quote. The card opens with one empty line.
- Type a description, such as “Land package”, and its amount.
- Click + Add line for each further item. The total updates as you type.
- Check the currency. It starts as USD.
- Add a note if the price needs explaining, such as “Per person, double occupancy”.
- Decide whether the client should see it yet (see below), then click Save quote.
Nothing is kept until you click Save quote. Cancel closes the card and discards what you typed.
The fields
| Field | What to enter | Required |
|---|---|---|
| Description | What the line covers, in the client’s words: Land package, International flights, Travel insurance. | Yes, on every line |
| Amount | The price for that line. You can type 12400, 12,400 or $12,400. | Yes, on every line |
| Currency | A three-letter code such as USD, EUR or NZD. One currency covers the whole quote. | Defaults to USD |
| Note | One line under the total, such as “Per person, double occupancy” or “Valid until November 30”. | No |
| Show this quote to the client | Ticked: the client can see the quote. Unticked: only advisors can. | Your choice |
A line left completely blank is ignored when you save. A line with a description but no amount, or an amount but no description, stops the save and tells you which is missing.
What the client sees
With Show this quote to the client ticked, the quote appears as the Investment section near the end of their itinerary: each line, the total, and your note. It shows in three places:
- the itinerary in the client portal and the phone app
- the itinerary email you send from the preview page
- the preview you see under Preview Itinerary
A client linked to the itinerary can open it in their portal as soon as it is saved, so a ticked quote is visible to them straight away, before any email is sent.
The same tick also shows the fare on each reservation you have marked as booked. It is the same setting as the Pricing / quote switch on the preview page, so changing one changes the other.
A first quote starts with the box ticked. To keep a working number to yourself, untick it before you save. After saving, the card shows a green Shown to the client or an amber Hidden from the client label, so you can always tell which it is.
Change or remove a quote
- Change it: click Edit quote, change any line, amount, the currency or the note, and click Save quote. The client sees the new figures the next time they open the itinerary. An email already sent keeps the old ones.
- Hide it: click Edit quote, untick Show this quote to the client, and save. The quote stays on the card for you.
- Remove it: click Edit quote, remove every line with the × at the end of each row, and save. An empty quote is hidden from the client automatically.
Good to know
- Amounts show as whole numbers. The card and the client’s itinerary round each line to the nearest whole unit, so $3,100.50 shows as $3,101. Enter rounded figures, and round up.
- We quote as one package. A single “Land package” line is usual. Break out a line only for something the client buys separately, such as flights or insurance.
- Quote in the currency the client pays in. For a quote built from foreign-currency rates, convert first and enter the result.
- The Itinerary Wizard has the same fields. A quote typed under Presentation details while drafting in the wizard shows up in this card once the itinerary is saved.
- Confirmations are separate. Vendor and client confirmations still go in the agent’s file on the shared Teams folder.
